Managing Keywords

A Keyword defines a category of choices, such as Sizes. Any number of Keyword Choices are defined for the keyword. For example, the Keyword Choices for Sizes could be S, M, L and XL.

When a user assigns a control that requires a list of choices (such as a drop down list) to a field, the user can associate the Keyword with the control to populate the control with the Keyword Choices. 

New Keyword Wizard

The New Keyword wizard allows you to create a new keyword object and keyword choices that appear in Content Design view.

To access the New Keyword Wizard:

  • In the Menu bar choose File > New > Other. In the Select a wizard dialog, choose Keyword.
  • In Content Design View, right-click the Keywords node and choose New > Keyword.

The New Keyword wizard consists of the following dialogs:

  • Keyword Dialog
  • Choices Dialog

New Keyword Wizard Keyword Dialog

The Keyword dialog is the first dialog of the New Keyword Wizard. Use this dialog to specify the name and description of the keyword.

Field Descriptions

Keyword name - The name of the keyword.

Description - Optional. A description of the keyword.

New Keyword Wizard Choices Dialog

The Choices dialog is the second dialog of the New Keyword wizard. Use this dialog to specify the choices for the Keyword.

Field Descriptions

Choices - Table of keyword choices.

Label - Name of keyword choice displayed to users.

Value (table) - Value of keyword choice stored in Rhythmyx.

Description - Optional. Description of keyword choice.

Value (box) - Read only. Same as Value of the choice selected in the table

Keyword Editor

The Keyword editor allows you to modify keyword choices.

To access the Keyword editor:

  • After finishing the New Keyword wizard, click [Finish].
  • In any view that displays Keywords, right-click a Keyword and choose Open.
  • In any view that displays Keywords, double-click a Keyword..

Field Definitions

Keyword name - Read only. The name of the keyword.

Description - Optional. A description of the keyword.

Choices - Table of keyword choices.

Label (table) - Name for keyword choice displayed to users.

Value (table) - Value for keyword choice stored in Rhythmyx.

Description (table) - Optional. Description of keyword choice.

Value (box) - Read only. Same as Value of the choice selected in the table.

Creating a Keyword

To create a keyword and keyword choices, complete the New Keyword wizard.

To create a keyword and keyword choices:

  1. In Content Design View, right-click on the Keyword node and choose, New > Keyword.

    The Keyword wizard opens to the first page (Keyword dialog).

  2. In Keyword name, enter the name for the keyword.
  3. Optionally, in Description, enter a description of the keyword.
  4. Click [Next].

    The Keyword wizard opens to the second page (Choices dialog).

  5. Optionally, in the Choices table, enter keyword choices. Keyword choices appear in drop lists and other controls in the order in which you enter them.

    For each keyword choice:

    1. Under Label, enter the name for the keyword choice that will appear to users.
    2. Under Value, enter the value for the keyword choice that the system will store.
    3. Under Description, optionally enter a description of the keyword choice.
  6. Click [Finish]

    The Keyword editor opens. The keyword and keyword choices appear in Content View under the Keyword node.

Now you can:

  • In the Keyword editor, make changes to the keyword choices.

Editing a Keyword

To change the name of the Keyword, you must access the Keyword's right-click menu in Content Design view. To change Keyword choices use the Keyword editor.

To change a Keyword name:

  1. In Content Design view, under the Keywords node, right-click the keyword, and choose Rename.

    The Keyword name is selected.

  2. Type in the new name.
  3. Click [ENTER].

    The keyword is listed under the new name. The keyword choices are unchanged.

To edit a keyword's choices:

  1. In any view where the Keyword appears, right-click on the keyword and choose Open.

    OR

    Double-click the Keyword.

    The Keyword editor opens with data filled in for the keyword.

  2. Change any of the Labels, Values, or Descriptions in the Choices table.
  3. To change the order of the Keywords, select a Keyword and click Up Arrow to move it up in the list or click Down Arrow to move it down in the list.
  4. To add a keyword choice either click on the first empty row or insert a row by clicking on the row that you want below it and click Add Button. Enter a Label, Value, and optionally, a Description for the new keyword.
  5. To delete a keyword choice, click on its row and click Delete Button.
  6. Save and close the Keyword editor.

 

Deleting a Keyword

To delete a keyword:

  1. In Content Design View, under the Keywords node, right-click the keyword and choose Delete.

    The keyword and its keyword choices are deleted.

    • Any field controls that are assigned the keyword are now assigned a blank keyword.
    • Any existing Content Items that have a field that stores one of the keyword choices will continue to store the keyword choice unless you open it in its Content Editor and save it.
